Organization Calendar
Use Settings → Calendar to maintain the working calendar for your organization. The same calendar applies across the organization's libraries, so staff do not need to maintain duplicate holiday lists.
Sunday is the weekly holiday by default. You can replace it with any combination of days and add dated closures for festivals, training days, emergencies, or other local needs.

Before you begin
- Confirm that the organization timezone is correct in Settings → Organization Settings. Calendar dates are evaluated in that timezone.
- You need permission to view the Calendar. Editing weekly holidays, the return policy, or custom holidays also requires Calendar update permission.
- Calendar rules do not replace Membership Plan borrowing limits or loan periods. They only adjust a calculated due date when it falls on a non-working day.
Review a month
- Open Settings → Calendar.
- Use Previous month, Next month, or the month and year selectors.
- Select Today to return to the current month.
- Use the legend to distinguish working days, recurring weekly holidays, and custom holidays.
The custom-holiday list beside or below the calendar shows closures for the selected month. Its position changes to fit the available screen width.
On narrow screens, the month and year selectors stay together, with Previous month, Next month, and Today grouped below them. Calendar settings and Import holidays have separate full-width buttons. In the Standalone app, use the horizontal scrollbar to see the remaining weekdays while keeping holiday text readable.
Add or update a custom holiday
- Select a date in the calendar.
- Turn on Mark as a custom holiday.
- Enter a short reason or reference when it will help staff understand the closure.
- Select Save.
Selecting a date that already has a custom holiday opens the same form for editing. Saving that date updates the existing holiday; it does not create a duplicate.
Import holidays from a spreadsheet
Use the import when you already have an approved holiday list for the year or term. The WebApp and Standalone app accept CSV and XLSX files and use the same preview and validation rules in Cloud and Local setups.
- Select Import holidays in the Calendar header.
- Download the sample template if you do not already have a file.
- Keep a
datecolumn and, optionally, areasoncolumn. Column order and capitalization do not matter.holiday dateordaycan also identify the date column;descriptionornotecan identify the reason column. - Enter every date in the exact organization date format displayed in the import window, for example
31/12/2026when the organization format isd/m/Y. - Choose the CSV or XLSX file and review the preview.
- Correct every invalid row, then choose Import valid rows.
The preview shows how many rows are valid, new, updates, or invalid. A date already in the organization calendar is marked as an update. Repeating the same date within one file is invalid, and the import is not applied while any row is invalid. You can download the error report, correct the source file, and try again. Imports are limited to 5,000 populated rows at a time.

Remove a custom holiday
- Select the custom holiday in the calendar or month list.
- Choose Remove holiday.
- Confirm the removal.
Removing a custom holiday does not change a recurring weekly-holiday rule for the same date.
Configure weekly holidays
- Select Calendar settings.
- Open the Weekly Holidays tab.
- Select every day on which the organization is normally closed.
- Select Save.
Changes affect future issue and renewal calculations. Existing circulation records retain the due dates stored when those transactions were completed.
Configure the return-date policy
- In Calendar settings, open the Return Policy tab.
- Keep Extend return date to the next working day if it falls on a holiday enabled to prevent a due date from ending on a closed day.
- Select Save.
When enabled, Libcodesk moves an issue or renewal due date through consecutive weekly and custom holidays until it reaches the next working day. When disabled, the Membership Plan's calculated date is kept even if that date is a holiday.
This setting does not add a fine grace period and does not change the configured loan duration. Fine calculation continues from the stored due date.
Do and don't
- Do keep the organization timezone accurate before entering holidays.
- Do enter closures as soon as they are approved so new transactions receive correct due dates.
- Do use a concise reason that librarians will recognize.
- Do use the displayed organization date format in imported files, even if spreadsheet software shows dates differently on your computer.
- Do review rows marked Update before applying an import.
- Don't use Calendar to change maximum loans, collection access, or loan duration; maintain those in Membership Plans and circulation policies.
- Don't add the same closure repeatedly. Select the existing date to edit it.
- Don't edit the source file after previewing it. Choose the file again if it was changed.
Troubleshooting
I can view the calendar but cannot edit it
Ask an organization administrator to grant Update organization calendar permission to your staff role.
A due date did not move
Check that:
- The date is marked as a weekly or custom holiday.
- The return-date extension setting is enabled.
- The organization timezone is correct.
- The transaction was created or renewed after the calendar rule was saved.
The calendar cannot be loaded or saved
Use Retry after checking the connection. In the Standalone app, verify that the local setup is open under the expected organization. If the problem continues, contact your organization administrator and include the action and time of the failure.
An imported date is invalid
Open Settings > Organization Settings and check the configured date format, then enter the spreadsheet date in that exact order and with the expected separators. Do not guess an ambiguous date such as 01/02/2026. The preview rejects a different date format rather than interpreting it silently.
My spreadsheet contains a date but the preview shows a number
Save the workbook as XLSX again, or use the downloadable CSV template and enter the date as visible text in the displayed organization format. This avoids spreadsheet-specific date formatting differences.
Frequently asked questions
Does Calendar override Membership Plan rules?
No. The Membership Plan still determines access, limits, and the base loan or renewal period. Calendar only moves a resulting due date to a working day when the extension policy is enabled.
Are holidays separate for each library?
No. This is an organization calendar shared by the organization's libraries.
Can we have more than one weekly holiday?
Yes. Select every recurring closed day in the Weekly Holidays tab.
Does changing a holiday rewrite old circulation history?
No. Completed transactions keep their recorded due dates and audit history.
Can importing a file create duplicate holidays?
No. A repeated date inside the file is rejected. A date that already exists in the organization calendar is updated after the preview clearly marks it as an update.
