Scheduled reporting

Open Advanced Manager > Scheduled reporting in CodeAchi Libcodesk - Easy Library Management Software. Use Schedules for recurring reports, Run history for progress, and Download center for your files.

In Local setup, sign in with the schedule owner's account; another staff member's session does not run that owner's schedules.

Before you start

Create a saved report in the relevant reporting module first. Choose its columns and filters there. Your organization admin must grant the appropriate scheduling and report-export permissions. Each recipient needs report access for every selected library. Recipients can retrieve their own permitted files without permission to manage schedules.

Cloud setup runs schedules without keeping Libcodesk WebApp or the Standalone app open. In Local setup, keep the Standalone app open: closing it stops scheduled work. Reopening catches up the most recent missed occurrence, rather than sending a report for every missed day. Local and cloud schedules and files are separate.

Add or change a schedule

  1. Choose Add schedule, enter a clear name, and select a Saved report. Search and page through the available choices.
  2. Select the libraries and internal recipients. Changing the report clears these selections so you can review them again.
  3. Choose daily, weekly, or monthly repetition and a time. Weekly schedules also need a weekday; monthly schedules need a day of the month. A day beyond the end of the month uses the last day. The displayed organization time zone determines the schedule.
  4. Choose a relative period such as Last month, or fixed dates. Enter dates in your organization’s displayed format. Leave both fixed dates empty only when you want the saved report’s fixed range.
  5. Choose Excel, PDF, or Word and the report language. Review the export options, including summary, chart, detailed table, paper, and orientation where applicable.
  6. Choose Download center, or email if configured. Set the retention period from 1 to 365 days; the initial value is 30 days.
  7. Leave Enabled selected to activate the schedule, then choose Save. Save stays disabled until something changes.

Your schedule uses the saved report settings captured when it is saved. After changing the original saved report, review and save the schedule again. Use the row action menu to edit, pause, enable, run now, or view history, according to your permissions.

Delivery and downloads

In Cloud setup, email contains a private sign-in download link. In Local setup, configured email delivery sends the generated file as an attachment and keeps a local download copy. Email may use your organization’s allowance. Choose Run now deliberately and review its confirmation before sending an additional report.

Watch Run history for queued, processing, completed, partial, or failed results. Retry failed deliveries retries eligible failures; successful deliveries are preserved. If email delivery is unconfirmed, check the recipient or mail provider before sending again. An unconfirmed delivery is not automatically resent.

Open Download center and choose Download from the file’s action menu. Expired files are removed, while history remains. Access is checked again before downloading, so a file may become unavailable after permissions change.

Troubleshooting and safe practice

  • A report, library, or recipient is missing: check the saved report and current permissions with your organization admin. External email addresses are not recipient choices.
  • Email is unavailable: select Download center or ask the organization admin to configure email.
  • A schedule changed while you edited it: refresh and review the latest values before saving.
  • A run fails or partially completes: check recipient access, selected libraries, email configuration, and the report settings before retrying.
  • Local work did not run while the app was closed: reopen the app and check history for the catch-up result.

Do check the report period, recipients, time zone, and retention before enabling a schedule. Don’t create repeated runs to recover an unconfirmed email or assume a downloaded attachment can be withdrawn from its recipient.

Keyboard and narrow windows

Use Tab to move between controls, Enter or Space to activate actions, and arrow keys in selectors and menus. Tables scroll sideways in narrow windows. Escape closes a safe dialog; review the unsaved-change prompt when applicable.

Frequently asked questions

Can I schedule CSV output? The available formats are Excel, PDF, and Word.

Does changing the active library send my schedule to another library? No. Review the explicit library selection in the schedule.

Can a recipient download another staff member’s files? The Download center shows the signed-in recipient’s permitted files.

What happens when I pause a schedule? Future automatic occurrences stop. Existing history and unexpired permitted downloads remain available.
