Operational Analytics

Open Advanced Manager > Operational Analytics to review the selected library in CodeAchi Libcodesk - Easy Library Management Software. These views help you assess recorded activity and current holdings. They do not change records or place purchases.

Before you start

Select the library in the main header. Your plan must include report generation, and your role must have the reporting permissions for the selected view. Some views need both collection and circulation reporting access. Ask your organization admin if a needed view is unavailable.

Libcodesk WebApp and the Standalone app show the records in your current Cloud setup or Local setup. Results from separate setups may differ because their records differ.

Run an analysis

  1. Choose View and Period. Available periods are Last 30 days, Last 90 days, This month and This year. Calendar days follow your organization's time zone.
  2. For inactive inventory, set the number of lookback days. For membership retention, set the renewal grace days.
  3. For subject gaps or acquisition recommendations, optionally enter complete target subject statements, one per line, and the minimum copies per target. Use at most 100 statements, each up to 255 characters. Matching is exact and case-sensitive; preserve the catalog's spelling and script.
  4. Choose Run analysis. Wait for the loading indicator to finish. The result shows the period, generation date, elapsed time and totals.
  5. Read Definitions and data coverage before interpreting the numbers. Page through the results; the totals cover all matching rows, not only the current page.
  6. After changing the library, view or filters, run the analysis again. The page clears results from the previous selection.

Both interfaces show 25 result rows per page. On narrow screens, scroll the table horizontally to read its remaining columns. Use Tab to reach controls and Enter to activate the selected action. In the Standalone app, numeric fields also support Up/Down keys, and Cancel stops waiting for the current result without changing records.

Choose the right view

Membership retentionLinked membership renewals within the grace window. Windows that have not ended are excluded from the percentage.
Circulation patternsRecorded loans, renewals, returns and reservations by local calendar day, including days with zero recorded activity.
Overdue recoveryRecorded late returns grouped by the latest recorded due date. This is not a fine-payment report.
Acquisition recommendationsExisting titles with demand indicators and optional subject-target shortfalls for librarian review. No external shopping list or automatic order is created.

Interpret gaps and unavailable values

Not available is different from zero. A per-copy ratio cannot be calculated when its copy denominator is zero. Retention cannot be calculated while no eligible grace windows have ended.

Older records may lack complete activity or membership history. An empty result does not prove that nothing happened. No recorded return does not prove a copy remains outstanding. Renewals can move a loan into a later due-date group, and current holdings or reservations are not historical snapshots.

If analysis fails, check your connection, selected library, reporting permissions and plan, then run it again. Staff should ask their organization admin to resolve access issues.

Do and don't

  • Do compare the same view, period and library, and read the coverage notes each time.
  • Do review the original catalog and circulation records before buying, withdrawing or following up on an item.
  • Don't treat a suggested shortfall as an approved purchase or incomplete history as proof of inactivity.

Frequently asked questions

Why does changing the page leave the totals unchanged?

Totals describe the full matching result. Pagination changes only the rows currently displayed.

Why is an absent subject missing from the coverage list?

Existing catalog records cannot identify a subject you intended to collect. Enter its exact target statement to check its shortfall.
