Issue Items

Use Circulation Manager > Circulation Desk and select Issue. The normal counter flow is member first, then item scans. The desk checks the active library, member, Membership Plan, matching Borrowing Rule, and copy status before an item enters the queue.

Before You Start

  • Confirm the correct library in the Scan Desk header. Changing it clears the current member and queue.
  • Keep Issue selected.
  • Scan Desk settings are stored for the signed-in staff account. Use the header gear for desk-wide workflow settings, the Member lookup gear for member behavior, and the Item lookup gear for item behavior.
  • An unavailable item is never silently added to the issue queue. Its exact rejection or reservation choice appears beside Item lookup.

Select The Member

  1. Scan a visible Member ID, library card, or RFID value, or search using an enabled member field.
  2. An exact match or a search with one result is selected automatically.
  3. If several results match, use Up or Down and Enter in the Select member popup, or select anywhere on the required row.
  4. Confirm the member photo, name, status, Membership Plan, Member Since date, and Membership Expiry date.
  5. Review Details for active loans, borrowing limit, overdue items, and amount due. Open Current Loans when you need the member's existing issues.

The member-information area keeps a neutral placeholder before selection, so the item area does not move when member details appear. When Open Renew Popup for Expired is enabled, selecting an expired member opens the same membership-renewal workflow used by Member Manager.

Add Items To The Queue

  1. Scan or enter a barcode, accession number, RFID value, or title in Item lookup.
  2. Press Enter after manual entry. An exact or single result is added immediately when it is eligible.
  3. If several copies match, select the exact row in the Select item popup. The first row is keyboard-selected by default.
  4. Review the queue row: cover, title, accession, status, return date, and Location.
  5. Repeat until all required copies are present.
  6. Remove a mistaken row with its red bin button.

The queue shows up to four rows before adding vertical scrolling. Column headings, neutral skeleton rows, and disabled actions remain visible before the first item is added. Location shows the physical shelf or location for a physical item and Digital for a digital resource.

When Item lookup contains a value, Enter searches or adds that item. When Item lookup is blank and the queue is ready, Enter runs Issue All, allowing a scanner-and-keyboard workflow without moving focus to the button.

Eligibility Checks

Libcodesk validates eligibility while each item is added and validates the complete queue again before issue. A rejected item does not enter the queue; the item error appears beside Item lookup and explains the reason.

The effective Membership Plan remains authoritative for total borrowing limit, loan period, renewal allowance, reservation limit, fees and deposits, collection access, reference access, and Reading Room access. A matching Borrowing Rule may apply a permitted exception. An inactive or expired member, inactive assigned plan, reached borrowing limit, restricted collection, unavailable copy, lost/damaged/repair status, or reservation for another member produces a specific message.

By default, one member may hold only one active copy from the same canonical catalogue title. Policy Settings > Issue Policy may set another Same-title active copy limit, including 0 for unlimited. The desk checks both existing active loans and the current queue.

Reference-only items may be issued only when the member has the required collection and Reading Room access. They are due before the active library closes on the same day and remain visible as Reference Issued until returned.

Unavailable Titles And Reservations

Reservation is contextual, not a separate Scan Desk mode. If the scanned copy is issued to another member or under repair and no issuable copy of the title is available in the active library, Reserve title may be offered.

  • A member cannot reserve a title already issued to that same member; use Renew instead.
  • A reservation is stored against the canonical catalogue title, not one physical copy.
  • Finish or clear a normal issue queue before placing the reservation.
  • Reservations follow first-come, first-served order. The pickup deadline begins only after a returned copy makes the reservation Ready for pickup.

Complete The Issue

  1. Confirm every queue row is ready and review its proposed return date.
  2. Select Issue All at the far right. Clear Queue remains immediately before it.
  3. If transaction confirmation is enabled, confirm the issue.
  4. Wait for the short completion message beside Clear Queue. Close it when required.

The completed circulation transaction records each copy, effective due date, member, library, responsible staff account, policy context, and audit event. Transaction Memo printing or notification behavior follows Scan Desk Settings and the configured notification channels.

When Auto clear after transaction is enabled, the queue and member clear and focus returns to Member lookup. When it is disabled, the member remains selected and Current Loans refreshes immediately with the new issues.

Good Practices

  • Keep focus after scan enabled for a scanner-led counter.
  • Use exact scanner matching when identifiers are unique and reliable.
  • Confirm the member photo and name before the first item scan.
  • Read the specific inline error instead of repeatedly rescanning a blocked item.
  • Keep same-title and total borrowing limits in their proper Policy Settings and Membership Plan sources.
  • Clear the member before serving the next patron when automatic clearing is disabled.
