Cloud Onboarding Guide
Use this guide to register a new organization for CodeAchi Libcodesk Cloud. Cloud setup is best when admins and librarians want browser access through Libcodesk WebApp, centralized records, and role-based access from multiple devices.
Before You Start
Keep these details ready before you begin:
- Organization name and contact number.
- First admin name, email address, and password.
- Country, timezone, date format, and time format.
- Your role in the organization, such as Principal, Librarian, Owner, or Administrator.
- Preferred plan: Community/free or a paid cloud plan.
- Payment method if you choose a paid plan.
- Logo image if you want to add branding during setup.
- Preferred library access link if your plan allows a custom link.
Step 1: Open Cloud Registration
Go to the Libcodesk registration page:

If registration is temporarily paused by CodeAchi, the page will show a registration-stopped message instead of the signup form.

Step 2: Create The Admin Account
The first person who registers becomes the organization admin. On the registration screen:
- Enter your name.
- Enter your email address.
- Click Send OTP.
- Open your email and copy the OTP.
- Enter the OTP and verify it.
- Create your password.
- Continue to plan selection.
OTP sending has a short cooldown, so wait for the timer before requesting another code. If the OTP expires, verify the email again.
You can also register with social login:
- Microsoft
When social login is used, Libcodesk receives the verified email from the provider and continues the same onboarding flow.
Add separate screenshots for email OTP verification and Microsoft sign-in if you want to show both registration options.
Step 3: Choose A Cloud Plan
After the admin account is created, Libcodesk shows the available cloud plans. The Community plan is selected by default when it is available.
On this page you can:
- Choose the plan.
- Choose a 1-year or 2-year duration.
- Add available add-ons when shown.
- Review the total before continuing.
If the selected total is zero, Libcodesk skips payment and opens the organization setup screen. If the selected plan has a paid total, Libcodesk opens secure checkout.

Step 4: Complete Payment Or Continue With Community
For a free Community plan, there is no payment step. The setup moves directly to organization details.
For a paid plan, Libcodesk creates a secure checkout session and redirects you to the payment page. After payment succeeds, you return to organization setup. If payment is cancelled, you can go back to plan selection and try again.
If payment cannot be captured after repeated attempts, Libcodesk may still allow setup to continue so the team can follow up and complete the payment process.

Step 5: Set Up The Organization
The organization setup screen collects the details used to create the cloud workspace.
Fill in:
- Organization Name: the official name shown inside Libcodesk.
- Your Designation: your role in the organization.
- Library ID / Access Link: the custom cloud access link when available.
- Contact Number: required if your admin account does not already have a phone number.
- Timezone: used for due dates, reports, and activity timestamps. Search the selector by country, zone name, or a UTC offset such as
+3:30or3.30. - Date Format: used when showing dates to staff.
- Time Format: used when showing times to staff.
- Logo: optional branding image.
For Community/free plans, Libcodesk automatically generates a secure access link. For paid plans, you can choose the access link, and the system checks whether it is available.
The access link must be at least 5 characters, unique, and must not use reserved words. Libcodesk keeps service names reserved for current and future areas such as admin, support, guide, API, billing, checkout, blog, forum, community, notifications, security, and public system pages.

Step 6: Launch Libcodesk WebApp
After setup is complete, Libcodesk creates the cloud organization and shows the success screen.
Behind the scenes, Libcodesk creates:
- The organization account.
- The first admin account.
- The main library.
- The admin's library access.
- Plan and license information.
- Payment or Community activation history.
Use the access link on the success screen to open Libcodesk WebApp and continue setup.

Recommended First Setup After Registration
Once you enter Libcodesk WebApp, complete these areas first:
- Organization Settings: confirm contact details, country, date format, and currency.
- Library Manager: confirm the Main Library and add branches if needed.
- Staff Roles: create permission profiles for staff.
- Staff Accounts: add librarians and operators.
- Membership Plans: define borrowing, validity, and access rules.
- Member Types: define what data you collect for students, public members, faculty, or other member groups.
- Members: add or import members.
Cloud Setup Notes
- Cloud setup requires internet access.
- Organization admins may contact CodeAchi support for cloud access, license, or billing issues.
- Staff should contact their organization admin if they cannot access the software.
- Members should contact their library for account or access questions.
- Cloud setup and Local setup records stay separate; Local setup records are not silently copied to Cloud setup.
Do And Don'ts
- Use an email address that belongs to the first organization admin.
- Keep organization name, phone, timezone, and plan choice ready before starting.
- Verify OTP or complete social login before moving to plan selection.
- Don't use a shared staff email for the first admin account.
- Don't close the checkout flow before payment is completed or cancelled safely.
- Don't choose a custom access link that users will find hard to remember.

How do I register for the Cloud Library Software?
Start from the Libcodesk Cloud registration page, choose the language and theme if needed, then create the first admin account. Basic cloud onboarding can be completed in a few minutes when the admin email, plan choice, organization details, and payment information are ready. Full library setup takes longer if you need to configure roles, membership plans, member types, branches, and import existing data.
Is training provided for librarians and staff after registration?
The guide is written as step-by-step training material for admins and staff. Organization admins can use it to train librarians on setup, roles, staff accounts, memberships, members, imports, and daily workflows. For cloud access, license, or billing help, organization admins may contact CodeAchi support.
Can multiple staff members access the system with different roles?
Yes. After onboarding, the admin can create staff roles and staff accounts. Each staff member can receive role-based permissions so librarians, operators, and admins see only the menus and actions they are allowed to use.
Is technical support available during the onboarding process?
Organization admins may contact CodeAchi for cloud access, license, payment, or billing issues. Staff should contact their organization admin for login or permission issues, and members should contact their library.
Can the software be customized according to our library requirements?
Yes. Libcodesk is organization-aware. Admins can configure organization settings, libraries, staff permissions, membership plans, member types, required fields, imports, and access rules so the system matches the library's real workflow.
