Delete Members

Use this guide for deleting one member from the Members table. If you need to remove many selected members, read Batch Delete Members.

Deleting a member is a serious action. In many libraries, Deactivate or Blocked status is safer because the record remains available for history, reports, and later review.

Before You Delete

Check these points first:

  • Are you sure this is the correct member?
  • Does the member have useful history your library may need later?
  • Would deactivation solve the problem without removing the record?
  • Do you have permission to delete members?
  • Has the member been selected through search/filter by mistake?

Use Member 360 before deleting when you need a quick review of contact details, library access, and recent activity.

Delete One Member

  1. Open Member Manager > Members.
  2. Search for the member by Member ID, name, email, or phone.
  3. Open the row action menu .
  4. Choose Delete .
  5. Read the confirmation carefully.
  6. Type the confirmation text shown in the dialog.
  7. Confirm the delete action.

If the delete succeeds, the member is removed from the list. If it fails, the member stays in place and Libcodesk shows what needs attention.

When To Deactivate Instead

Choose Deactivate or a blocked/inactive status when:

  • the member may return later
  • the library needs past activity for reporting
  • staff may need to contact the person again
  • you are not fully sure the record should be removed
  • the record is linked with operational history

Deletion is best for records created by mistake, test records, duplicates that should not exist, or entries your library policy allows staff to remove.

Troubleshooting

Delete action is not visible

Your role may not have delete permission. Ask an admin to review staff role permissions.

Confirmation does not work

Type exactly what the dialog asks for. In translated screens, follow the text or code shown in the dialog rather than guessing an English word.

Member was not deleted

The record may be protected by linked history or a validation rule. Use the error message to decide whether to deactivate instead.

I deleted the wrong member

Stop and inform an admin immediately. If your organization keeps backups or audit review procedures, follow the library's recovery process.

I need to delete many members

Use Batch Delete Members, but filter carefully and check the selected count before confirming.

Do
  • Search by a precise value before deleting.
  • Open Member 360 when you are not fully sure.
  • Use deactivate when the library may need the record later.
  • Read the confirmation count and member identity before confirming.
Don't
  • Don't delete only because a membership expired.
  • Don't delete records that may be needed for reports or history.
  • Don't use delete as a quick way to fix incorrect data; edit the member instead.
  • Don't confirm deletion while filters or selected rows are unclear.

FAQ

Can a deleted member be restored?

Deletion should be treated as a final action unless your organization has a separate recovery process. Use deactivate when you want to keep the record available.

Why does delete require confirmation?

It protects the library from accidental removal, especially when staff are working quickly from tables and row menus.

Should expired members be deleted?

Usually no. Expired, inactive, or blocked status is better when the library may need renewal history or past activity.

What should I do with duplicate records?

First confirm which record is correct. Edit or deactivate where possible. Delete only the record your library policy allows you to remove.
