Manage due dates, renewals, fees, and settings

Due & Renewals

Open Interlibrary Loans > Due & Renewals to review upcoming and overdue items, returned items awaiting shipment, and renewal requests. Overdue and return-shipment work appears first.

To request a renewal, choose Add, select the ILL request, enter the requested due date, and add the partner's reason or message. An authorized user can approve or reject it. When an item is currently issued to a member, approval also renews the linked circulation transaction so the member loan and ILL due date stay aligned.

Fees

  1. Open Interlibrary Loans > Fees and choose Add.
  2. Select the request and fee type.
  3. Enter the amount in the currency's minor unit and select the currency.
  4. Add an explanatory note and save.
  5. When paid, choose Record payment, enter the date, method, and reference, then confirm.

For a borrowing request, money paid to a partner is recorded as an expense. For a lending request, money received from a partner is recorded as income. The corresponding Accounts Manager record remains linked to the ILL fee.

Settings

Administrators can configure:

  • whether ILL is enabled;
  • request validity and default due periods;
  • whether renewals are allowed, require approval, and have a maximum count;
  • default borrowing, lending, and shipping fee amounts and currency;
  • default carrier and tracking-number requirement;
  • which ILL events use the existing notification rules and delivery channels.

Save remains disabled until a setting changes. Disabling ILL prevents new operational changes but keeps existing records and history available for review.

Troubleshooting

  • Renewal unavailable: Check that renewals are enabled, the request is received or issued, and its renewal limit is not exhausted.
  • Payment cannot be recorded: Confirm the fee is unpaid and that your role also has permission to record account payments.
  • Notification not delivered: Confirm the event is enabled here, then review the organization's notification rule, recipient details, and delivery history.

Do and don'ts

Do

  • Resolve overdue work before completing its request.
  • Use the payment reference from the real transaction.
  • Keep notification choices consistent with your organization's communication policy.

Don't

  • Do not create a separate manual account entry for a fee already paid through ILL.
  • Do not approve a renewal after its request has completed or been cancelled.

FAQ

Why do I see both a renewal and the request in this worklist?
The renewal is the decision record; the request row keeps the current due or return-shipment work visible.
Does changing a due date bypass circulation policy?
No. A linked member renewal continues through the normal circulation checks.
