Visitor Reports
Open Visitor Manager > Reports to review visitor activity for the libraries permitted by your role. The same reports are available in a Cloud setup through Libcodesk WebApp and the Standalone app, and in a Local setup through the Standalone app.
Available reports
- Visitor Summary shows total visits, member visits, guest visits, and people currently inside.
- Visit History lists visitor identity, purpose, entry, exit, duration, and status.
- Daily Visitor Report and Monthly Visitor Report show visit trends over time.
- Member vs Guest Report compares the two visitor types.
- Currently Inside Report shows visits without a recorded exit.
- Long Stay Report highlights visits beyond the current eight-hour long-stay threshold.
- Purpose-wise Report groups visits by their recorded purpose.
Filter and export
- Select a report.
- Choose a permitted library or keep all permitted libraries selected.
- Set a date preset or custom date range. Add visitor type, status, or purpose filters where available.
- Use Search and sorting to narrow the paginated results, then choose Generate.
- Choose Export to preview and create an Excel, PDF, or Word file. Use the export preview as the print-ready view.
Exports contain the active filters and generated-by details when those options are selected. If a report is too large to export safely, narrow the date range or filters and retry.
Troubleshooting

Do And Don'ts
Do
- Confirm the selected library, report, and date range before generating or exporting.
- Correct inaccurate visit details in Visitor History, then generate the report again.
- Keep exported visitor information available only to authorized staff.
Don't
- Don't treat Currently Inside as a completed visit; it means no exit has been recorded yet.
- Don't use an exported file to correct source visit data.
- Don't select unnecessarily broad date ranges when a focused report is sufficient.
FAQ
Why is a visitor still shown as currently inside?
The visit does not have a recorded exit. Open Visitor History, confirm the correct visit, and record or correct its exit before generating the report again.
Why are some libraries unavailable in the filter?
Reports only include libraries permitted for your staff account. Ask the organization administrator to review your library access if one is missing.
Why does the exported total differ from an earlier export?
Visit records or active filters may have changed. Confirm the library, date range, visitor type, status, and purpose filters, then generate a new export.
