Check-In And Check-Out
Open Reading Room > Assets > Check-In / Check-Out to turn an eligible reservation or walk-in into an active session and to close the session when the member leaves.
This workspace stays focused on member lookup and current occupancy. Use the separate Reservations tab to search, filter, create, or review reservation records.
Enter a member name or Member ID and choose Search, or press Enter, to submit the member lookup. This is separate from the workspace Refresh action.
Choose a member from the search results when names or IDs are similar. The action beside the search changes to Check in or Check out for that selected member. An active session is checked out, a current eligible reservation is checked in, and a member without either can start a walk-in session.
Check In
- Scan or search the member.
- If the member has a current reservation, choose Check in to use it.
- If the member has no current reservation, choose Check in, select an available table or seat, and confirm. This creates a session immediately without making a reservation first.
- Confirm the selected member and position before continuing.
A walk-in still requires active membership, Reading Room access in the Membership Plan, an open room, and an active position that is not reserved or occupied. If paid Reading Room use is enabled, create and complete the normal reservation and payment steps before check-in so the charge is not bypassed.
Check Out
Search the member again or find the member under current occupancy, confirm the member and position, then choose Check out. This works for sessions started from reservations and for walk-in sessions.
On phones and narrow windows, the member search, action, and available-position list stack vertically. The same search, selection, check-in, and check-out steps remain available by keyboard or touch.
Do And Don'ts
- Do check members out promptly so capacity remains accurate.
- Do confirm the selected position before check-in.
- Don't create a second active session for the same position.
- Don't bypass a required payment or Membership Plan restriction.
FAQ
Can a member check in without a reservation?
Yes, when paid Reading Room use is off and an eligible position is available. Search and select the member, choose Check in, then select the available table or seat.
Why does the page use the reservation instead of offering another position?
A current reservation is the member's intended place and time. Check in that reservation so its status, position, and payment history remain accurate.
