Member Reports
Reports is the final submenu under Member Manager so member-management screens remain above it.
Use Member Manager > Reports to understand membership status, plans, types, growth, demographics, and members with unresolved items or fines. Detailed financial transactions remain in Accounts Reports.
Before You Start
- Select a library your account may access.
- Confirm Member Types and Membership Plans are assigned correctly.
- Check that membership start and expiry dates use the organization date format.
- Ask your organization admin if member-report access is missing.
Member privacy and library access apply to every result. Cloud setup and Local setup report only on their own member records.
Find and Run Reports
Use Search reports, then narrow the list with the View and Category selectors. Choose the required report from Select report to open it directly. View includes All Reports, Favorites, Recently Used, and Popular Reports. Use the back button to return to Member Manager.
Typical reports include Member Summary, Active Members, Expired Memberships, Members by Plan, Membership Growth, New Members, Renewed Memberships, Members by Department, Members With Outstanding Items, and Members With Outstanding Fines.
- Open a report.
- Choose the library and relevant status, type, plan, or date period.
- Select Generate Report.
- Use Compare with previous period only when the report offers it.
Customize and Save
Choose Customize Report to control columns, their order, grouping, and up to three sort levels. Use Set as preferred for your personal default columns. Give the setup a clear name and select Save Configuration to rerun it later against current member data.
For long results, use Rows per page, the previous and next buttons, or enter a page number in Go to page. The chart and legend use a compact responsive summary card, while the detailed table can scroll horizontally when needed.
Interpret Results
KPI cards and restrained charts summarize the selected member population. The paginated table is the detailed view and remains usable without the chart. Member ID shown in a report is the visible librarian-facing Member ID; internal account identifiers are not exposed as replacements.
Choose Clear filters when no data matches. Choose Retry after a safe load or generation error.
Preview and Export
Excel, PDF, and Word exports follow the visible column selection and order. Export options let you include the summary, chart, detailed table, applied filters, and generated-by details. PDF and Word add A4, A3, or Letter paper controls with portrait or landscape orientation. Word keeps detailed data in a bordered table with a clear header row.
Excel uses separate Summary, Chart Data, and Detailed Data sheets for the sections you select, and Include chart adds an editable visual chart beside its source data. Word keeps the report editable with structured headings and continuous tables. While a preview or file is being prepared, the progress bar and elapsed timer remain visible. Large PDF tables are prepared in optimized batches so the Standalone app remains responsive.
Use Preview export to confirm the selected period, filters, columns, sorting, grouping, summary, and chart before downloading. Preview row limits do not change the permitted full export. Excel, PDF, and Word exports can include up to 100,000 matching rows; narrow the filters before exporting a larger result.
The generated report keeps its headline totals and chart together in one compact summary section. On wide screens, the totals sit beside pie and donut charts to preserve vertical space; narrow screens stack them for readability.
Do and Don't
- Do use Expired Memberships for members who have not renewed.
- Do use Accounts Reports for payment and revenue details.
- Don't expose exported member information to people without the matching member-data permission.
- Don't expect a saved configuration to preserve a historical snapshot.
FAQ
Why is a member missing from an all-libraries report?
All libraries means all libraries your account may access. The member must also be assigned to one of those libraries and match the current filters.
Where can I see membership fees collected?
Use Accounts Manager > Reports. Member Reports describe membership, while Accounts Reports use posted financial transactions.
