Standalone Onboarding

The Standalone app is the installed CodeAchi Libcodesk application for supported desktop, tablet, and mobile workflows. It can work in two data modes:

  • Local setup: the library data is stored on the device running the Standalone app.
  • Cloud setup: the Standalone app connects to an existing Libcodesk Cloud organization.

Standalone is the app. Local and Cloud describe where the data lives.

Onboarding Decision Tree

Use this tree before starting setup:

  1. Install and open the Standalone app.
  2. Choose language and appearance.
  3. Accept the required policy.
  4. Choose the operational mode:
    • Choose Local Setup if this device will be used for device-local library work.
    • Choose Cloud Setup if this app will connect to an already registered cloud organization.
  5. Follow the matching path below.

Path A: Local Setup With Trial Mode

Use this path when the library wants to start with the Standalone app locally and evaluate the software.

Step 1: Choose Local Setup

Select Local Setup in the operational mode screen. This tells Libcodesk to store library records on the device instead of connecting to cloud data.

Step 2: Choose Trial Mode

On the activation type screen, choose Trial Mode when you want to evaluate the software before activating a license.

Step 3: Register The System Admin

Create the first administrator account for this local setup.

Enter:

  • Full name
  • Administrator designation
  • Country code and phone number
  • Email address
  • OTP when email verification is required

Use Send OTP, then enter the OTP and verify it before continuing.

The Continue button remains visible in a muted state while required administrator details are incomplete. Complete the highlighted fields and any required verification to enable it.

On System Settings, choose the currency and backup location first, then review the clearly separated regional settings for timezone, date format, and time format. Open Timezone and search by a country or zone name, or enter an offset such as +3:30 or 3.30, to narrow the list.

Step 4: Enter Library Details

Fill in the local library identity:

  • Library or organization name
  • Address
  • Website
  • Optional logo

The logo can be selected, positioned, and zoomed inside a fixed square before it is saved. After setup, the saved logo appears in the main application header. On phones and narrow windows, the setup actions remain pinned below the current step so Back and Continue stay available.

Step 5: Configure System Settings

Set the local operating preferences:

  • Currency
  • Backup folder
  • Timezone
  • Date format
  • Time format

These settings control how staff see dates, times, currency, and backup location inside the Standalone app.

Step 6: Secure The Admin Account

Create and confirm the administrator password. This password is used to sign in to the local setup after onboarding is complete.

Step 7: Finish Setup And Sign In

When the compact success screen appears, choose Go to Sign In and log in with the admin email and password. On a private computer, you may select Remember password so the Standalone app can sign in next time without retyping the password. The password field shows a hidden saved-password marker, not the real password. Do not use this option on a shared or public device.

Path B: Local Setup With License File Activation

Use this path when the library has received a local activation file for the Standalone app.

Step 1: Choose Local Setup

Select Local Setup in the operational mode screen.

Step 2: Choose Local Activation

Select Local Activation and browse for the provided license file.

Supported license files use the formats shown by the app, such as .lic or .codeachi.

Step 3: Complete Admin Registration

After the license file is accepted, enter the system admin details:

  • Full name
  • Administrator designation
  • Country code and phone number
  • Email address

Step 4: Complete Library And System Settings

Continue with the same setup steps used in trial mode:

  1. Library details
  2. Currency and backup location
  3. Timezone, date format, and time format
  4. Admin password
  5. Setup completion

Path C: Cloud Setup From The Standalone App

Use this path when the organization already has a Libcodesk Cloud account and staff want to use the installed app with cloud data.

Step 1: Choose Cloud Setup

Select Cloud Setup in the operational mode screen.

If the organization has not registered yet, use the registration link shown in the app and complete the Cloud Onboarding process first.

Step 2: Confirm Cloud Registration

After the organization is registered, tick the option that confirms the organization is already registered with CodeAchi Libcodesk Cloud.

Step 3: Choose The Cloud Connection

Most users should use the default CodeAchi Cloud connection.

Use a custom cloud connection only if your organization admin or CodeAchi has explicitly provided one.

Step 4: Test The Connection

Click Test Connection. Continue only after the connection test succeeds.

Step 5: Finish And Sign In

When setup is complete, go to sign in and use the cloud account credentials for the organization. On a private computer, Remember password can save the password securely in the operating system's protected storage. The saved password stays hidden and is not shown through the password visibility button.

Path D: Online Or File Activation When Requested

If the Standalone app asks for activation from a license or access screen, choose the method that matches what your organization received:

  • Online Key: enter the registered email and activation key when internet access is available.
  • Local File: browse the provided license file when using file-based activation.

For Online Key activation, keep the registered email address and activation key ready. For Local File activation, keep the provided license file ready. Follow the message shown on the screen. Organization admins may contact CodeAchi for license, billing, or activation help. Staff should contact their organization admin.

After the first sign in, complete the operational setup in this order:

  1. Organization settings
  2. Library Manager
  3. Staff Roles
  4. Staff Accounts
  5. Membership Plans
  6. Member Types
  7. Members

This keeps permissions, libraries, plans, and member data consistent.

Do And Don'ts

Do
  • Download the Standalone app only from the official Libcodesk download page.
  • Decide whether the app will use Local setup or Cloud setup before staff begin work.
  • Keep admin name, email, phone, designation, library name, currency, timezone, and backup location ready before starting Local setup.
  • Use Cloud setup when multiple staff, multiple devices, or remote access are required.
  • Use Local setup when one controlled device is enough for daily library work.
  • Keep the registered email and activation key ready if you are using Online Key activation.
  • Use Remember password only on a private, trusted computer.
Don't
  • Don't call Standalone and Local the same thing; Standalone is the app, Local is a data mode.
  • Don't expect Local records to appear in Cloud automatically.
  • Don't use a shared staff email for the first administrator account.
  • Don't skip backup location selection for Local setup.
  • Don't use a custom cloud connection unless your organization admin or CodeAchi provided it.
  • Don't remember passwords on shared reception desks, public computers, or devices used by multiple people under the same operating-system account.

Can existing library data be imported into the standalone system?

Yes. Where import workflows are available, the Standalone app can import prepared spreadsheet data such as members or staff. Configure organization settings, libraries, staff roles, membership plans, and member types first so imported data can be validated correctly.
