Pending Registrations

Configure the member catalogue

Choose OPAC settings from the Pending Registrations header to control the member-facing catalogue without changing circulation or Membership Plan rules. The dialog uses separate Features and Branding tabs.

Feature switches control whether members can see or use the public catalogue, holds, renewals, digital library, online payments, events, room/PC bookings, Ask a Librarian, book suggestions, linked family accounts, reading history, saved searches, barcode scanning, and shelf sharing. Turning a switch off removes that workflow from the member catalogue. Membership Plan restrictions still apply after a tenant feature is enabled.

Branding allows an application name, secure HTTPS logo URL, and the OPAC colour identity. Leave optional branding fields empty to use the organization defaults. Save settings remains unavailable until a value changes.

Changes apply to the organization's cloud member catalogue. They do not silently copy local/standalone records into the cloud.

Use Member Manager > Pending Registrations when your library allows people to request membership from the public library page. A request is not an active member yet. Staff must review it, confirm the details, assign the correct Member Type and Membership Plan, and then approve it.

This keeps public onboarding useful without allowing unknown visitors to enter the member database automatically.

When To Use Pending Registrations

Pending Registrations is helpful when:

  • a public library wants patrons to apply online
  • a school or college wants new students to request access before verification
  • staff want to review contact details before creating the member account
  • the library wants to reduce desk-entry work while keeping approval control

In Local setup, the page remains visible for consistency, but public registration review is not available there. The page shows: Currently this feature is not available in Local Mode. Please use Cloud Mode to use this feature.

Page Layout

The Pending Registrations page is intentionally simple:

  • The top card shows the current number of registrations waiting for approval.
  • Refresh reloads the latest pending requests.
  • Allow New Registration controls whether new public registration requests can be submitted.
  • The search box helps staff find a pending request by applicant details.

The page shows only requests waiting for a decision. Approved requests are converted into active members. Rejected requests are removed from this section.

Enable Public Registration

  1. Open Member Manager > Pending Registrations.
  2. Turn on Allow New Registration.

When registration is disabled, visitors should not see the Join Library option and direct registration access is blocked or shown as unavailable.

The public library page currently shows only the Join Library action for registration. Public member sign-in from this page is planned for a later workflow and should not appear there yet.

The setting is part of the Public Portal configuration for the organization. The same settings area can be extended later for public page visibility, homepage sections, catalog visibility, content limits, and other public portal controls.

Public Registration Form

The public registration form asks applicants for the common member details required for review, including name, email, country/phone, gender, date of birth, address, profile image, password, and confirmation.

Applicants must also choose the library they want to join. Only libraries that belong to the current organization are shown.

For the profile image, applicants can choose an image file or use the camera where the browser supports it. The photo should be cropped as a square and kept lightweight. A clear face photo under 80 KB, up to 512 x 512 px, works best for member cards, profile previews, and staff review screens.

Review A Request

  1. Open Pending Registrations.
  2. Search the request list.
  3. Open the request.
  4. Review the submitted photo, selected library, and registration details.
  5. Choose View if you need to inspect the full request.
  6. Choose Approve to open the member creation form with the registration details filled in.
  7. Correct details if needed, add extra information, choose the Member Type, Membership Plan, and Library access. The applicant's selected library is shown and can be changed before approval.
  8. Save/approve the member.

After approval, Libcodesk creates the real member profile and account. Until then, the applicant cannot use member login or OPAC access. The password entered by the applicant during registration is kept for the approved account; it should not be replaced by member type default password rules.

Reject A Request

Reject a request when the applicant is not eligible, the information is incomplete, or the request appears unsafe.

Add a clear rejection reason. Rejected requests are removed from the Pending Registrations list.

Best Practices

  • Keep public registration enabled only when staff are ready to review requests regularly.
  • Search existing members before approving a request that looks familiar.
  • Use clear Member Types and Membership Plans before approving many requests.
  • Ask applicants to use a real email and phone number so staff can contact them.
  • Review unusual repeated requests carefully.

Do And Don't

Do:

  • approve only after checking the applicant details
  • choose the correct plan and type before creating the account
  • keep rejection notes professional
  • monitor pending counts so requests do not pile up

Don't:

  • approve unknown or suspicious requests without verification
  • use Pending Registrations as a replacement for import when adding many verified members
  • share internal approval notes with applicants unless your workflow requires it
  • enable public registration if no staff member is responsible for review

Common Issues

The registration button is not visible

Public registration may be disabled. Open Pending Registrations and check Allow New Registration.

A request cannot be approved

Check whether the email, phone, or visible Member ID already belongs to an active member or another pending request. Also confirm that at least one Member Type and Membership Plan exist.

Local setup shows the feature unavailable message

This is expected. Use Cloud setup when the library wants public visitors to submit registration requests from a public page.

The applicant cannot log in

This is expected while the request is pending. Login is allowed only after staff approval creates the active member account.

Can public registrations become members automatically?

No. Staff approval is required before a public request becomes an active member.

Can I use Pending Registrations in Local setup?

The page is visible for consistency, but public registration approval is available in Cloud setup only.

Can staff edit details before approval?

Yes. Staff can review and correct important details before approving the request.
