Circulation Reports

Reports is the final submenu under Circulation Manager so daily circulation screens remain above it.

Use Circulation Manager > Reports for borrowing and return activity. These reports cover issues, returns, current loans, overdue items, renewals, and reservations. Payments and revenue belong to Accounts Reports, even when a charge began in Circulation.

Before You Start

  • Select the correct library or all permitted libraries.
  • Confirm circulation transactions have been completed rather than remaining in a Scan Desk queue.
  • Make sure your role includes the required Circulation Reports permission.

Cloud setup and Local setup report on their own records; they do not silently combine or synchronize their circulation histories.

Choose the Right Report

Use Search reports, then narrow the list with the View and Category selectors. Choose the required report from Select report to open it directly. View includes All Reports, Favorites, Recently Used, and Popular Reports. Use the back button to return to Circulation History.

Examples include Daily Circulation, Current Loans, Most Borrowed Items, Late Returns, Overdue Aging, Renewal Summary, Pending Reservations, and Fulfilled Reservations.

Generate a Report

  1. Open the report card.
  2. Choose the library and date preset offered by that report.
  3. For a custom period, enter both dates using the organization date controls.
  4. Select Compare with previous period when available.
  5. Choose Generate Report.

The report shows only relevant filters. For example, an overdue report may offer material or member filters, but it does not show payment-method controls.

Customize and Save

Open Customize Report to show, hide, and reorder columns; select a supported Group By field; or add up to three sort levels. Set as preferred stores your personal column choice. Save Configuration stores the current report setup—not a frozen copy of its rows—so the saved report always reruns with current data.

For long results, use Rows per page, the previous and next buttons, or enter a page number in Go to page. The chart and legend remain compact so the circulation table stays close to its summary.

Understand Results

KPIs and charts summarize the current filtered period. The table is the detailed source for visible rows and supports search, horizontal scrolling, and data-source pagination. Charts have a text summary and never replace the table.

If no data matches, choose Clear filters. If loading or generation fails, choose Retry. Technical database or service details are not shown on the page.

Preview and Export

Select Export and choose Excel, PDF, or Word. Decide whether to include summary cards, chart data, the detailed table, applied filters, and generated-by information. For PDF and Word, select A4, A3, or Letter and portrait or landscape. Word keeps detailed data in a bordered table with a clear header row.

The export popup keeps a progress bar and elapsed timer visible while a preview or file is being prepared. Detailed PDF tables are processed in optimized batches so the Standalone app remains responsive.

Excel separates selected content into Summary, Chart Data, and Detailed Data sheets, and Include chart adds an editable visual chart beside its source data. Word produces editable headings and continuous tables suitable for operational notes or sharing. Large PDF tables are prepared in optimized batches while the Standalone app remains responsive and shows progress.

Use Preview export before downloading. It reflects the current date period, filters, columns, grouping, sorting, KPIs, chart, and table. The preview can limit detail rows for speed; Excel, PDF, and Word exports can include up to 100,000 matching rows. Narrow the filters before exporting a larger result.

The generated report keeps its headline totals and chart together in one compact summary section. On wide screens, the totals sit beside pie and donut charts to preserve vertical space; narrow screens stack them for readability.

Do and Don't

  • Do use Current Loans for active borrowing and Overdue reports for unresolved due dates.
  • Do use Accounts Reports for fines collected, waived amounts, and revenue.
  • Don't compare circulation totals from different library scopes without checking the selected library filter.
  • Don't treat a saved configuration as an archived historical report.

FAQ

Why does Circulation Reports not show fine revenue?

Circulation determines borrowing and overdue status. Accounts Manager is authoritative for money actually charged, waived, or collected.

Why is a newly scanned item missing?

Refresh or regenerate after the circulation transaction is completed. Items still waiting in a Scan Desk queue are not completed history.
