Staff

Staff users work with the features allowed by their role. A staff account may be a librarian, data entry operator, circulation desk user, branch user, volunteer, or supervisor depending on the organization.

If you cannot see a menu or action, contact your organization admin. CodeAchi support should not be the first contact for normal role or access changes because the organization admin controls staff permissions.

What Staff Usually Do

  • Search and update member records when allowed.
  • Add members or import members when allowed.
  • Renew memberships when allowed.
  • Use member table filters, copy buttons, and row actions.
  • Work only with the libraries assigned to their staff account.
  • Report missing menus, blocked actions, or wrong access to the organization admin.

Staff Access Basics

Staff access is controlled by three things:

Access AreaWhat It DecidesWho Changes It
Staff account statusWhether the staff user can work normally.Organization admin.
Staff roleWhich menus and actions the staff user can use.Organization admin.
Library accessWhich libraries the staff user can manage.Organization admin.

If a staff user can sign in but cannot see a page or button, the organization admin should review the staff account, role, and library access before contacting CodeAchi.

FAQ

Why can I see fewer menus than the admin?

Your staff role controls menus and actions. Admins can give access only to the workflows your job needs.

Who should I contact if I cannot access a page?

Contact your organization admin. They can review your staff role, account status, and assigned libraries.

Can a staff user work in Libcodesk WebApp and Standalone app?

Yes, if the organization uses those surfaces and the staff role permits the workflow. Cloud setup supports shared cloud access; Local setup stores data on the Standalone app device.

Why is an action button disabled?

The button may be disabled because nothing changed, required data is missing, a save is already running, or your role does not allow that action.

Can staff use imports?

Yes, only when the staff role includes the import permission for that module. Large imports should be validated before saving.

Can staff change organization settings?

Only if the organization admin gives that permission. Most staff should not need organization settings access for daily work.

Where can I learn member workflows?

Use the Member Management section for Members, Member Types, and Membership Plans. Your role decides which actions you can perform.

Should I share my staff login with another person?

No. Each staff member should use their own account so audit history and permissions remain accurate.
