Dashboard
The Dashboard is the operational overview shown after sign-in. It uses the active organization and library selected in the application header, so staff only see information they are permitted to access. The same overview is available in Libcodesk WebApp and the Standalone app in Cloud setup or Local setup.
The dark overview banner keeps the selected period and library context together. Colour-coded summary cards separate collection, membership, circulation, and loan health at a glance; colour supports the label and never replaces it.
Trial Mode In A Local Setup
When a Local setup is still using Trial Mode, the Standalone app shows a highlighted notice above the overview. Choose Buy Now to open the official Standalone pricing page, or choose Activate to open the existing software activation screen. This notice is not shown in Cloud setup and disappears automatically after the Standalone license is activated.
Choose A Time Period
The overview greets the signed-in staff member by name. Use Today, This week, This month, or This year above the summary. All four periods remain available on narrow screens. The cards, circulation trend, additions, and financial activity refresh together. Changing the active library also refreshes the complete overview.
Read The Summary Cards
- Total items shows the current number of copies in the selected library. Its helper value shows copies added during the chosen period.
- Active members shows memberships currently eligible for service. The helper value shows members added during the period.
- Circulated combines issues and renewals during the period, with each count shown separately.
- Currently borrowed shows open loans. Overdue loans are highlighted as work needing attention.
Understand The Charts
Collection by material type and Membership distribution sit side by side on wider screens and use matching donut charts, making the two compositions easy to compare without using extra vertical space. Collection segments follow the material types configured by your organization. Membership segments group members by membership plan and also show the current Active, Expired, and Expiring Soon totals. Circulation trend compares issues, returns, renewals, and reservations across suitable intervals for the selected period.
Daily circulation times follow your organization's time zone in a Cloud setup and the computer's local time zone in a Local setup, so the chart matches the working day seen by staff. The Today axis shows the complete day from 00:00 through 24:00 in four-hour boundaries; activity is plotted inside its interval, so a 10:00 transaction appears between 08:00 and 12:00.
Charts remain readable on a smaller screen by stacking into a single column. Keyboard users can move through the period controls and actionable items, while chart values remain available to assistive technology.
Act On Insights
The Needs attention section shows only work supported by current records, such as overdue items, memberships nearing expiry, pending registrations, active reservations, or a meaningful circulation change. Select an insight to open the relevant working page.
Accounts values appear only when Accounts Manager has activity. Amounts use the organization currency and include collected income, expenses, and outstanding invoice balances.
Empty And Error States
While the first overview is loading, Libcodesk keeps the complete dashboard layout visible with calm placeholder content and a small loading indicator. After real values have loaded, they remain visible during later period or library refreshes instead of being replaced by a blank page.
An empty chart means there is no matching activity for the current library and period; it is not replaced with demonstration data. A new Local setup safely initializes the dashboard data structures even when Collection Manager has not been opened yet, then shows zero totals and normal empty panels without an error or Retry action. If the overview genuinely cannot load, the dashboard remains available and shows Retry near the error. In Cloud setup, check the network connection and session. In Local setup, confirm the local database is available. If the problem continues, an administrator can enable diagnostic logging from About and reproduce the action.
A freshly installed Local setup can show the empty Dashboard immediately. You do not need to open Material Types or add a custom material type first.
Do And Don'ts
- Confirm the active library before comparing totals.
- Change the period when investigating a trend.
- Open overdue or membership insights to continue the work.
- Do not treat an empty period as missing collection data; total items and current loans are current-state values.
- Do not compare two libraries without selecting the same period.

Why are Accounts cards not visible?
They remain hidden until the selected scope has financial activity, keeping the operational overview focused.
Why did a number change after switching libraries?
The Dashboard respects the library selector and staff access. Selecting another library changes every library-scoped metric together.
Does Local setup show real values?
Yes. The Standalone app calculates the same overview from its local records. It does not silently synchronize those records with Cloud setup.
All and Quick navigation
The side menu starts on All, which shows every page allowed by your role and active-library access. Choose Quick for a shorter daily-work menu. Use Customize quick menu to select any permitted destination you use regularly, including deeper pages such as Periodicals, Membership Plans, Member Types, active loans, invoices, visitor history, reading-room tools, and settings. Your chosen tab and shortcuts are saved to your account; Cloud setup carries them between devices, while Local setup keeps them with the local user.
Quick navigation includes dedicated Search and Reports launch pages. Search routes you to collection, member, circulation, or accounts search. Reports routes you to the corresponding module report centre. Destinations you cannot access are automatically omitted.
Menu Counts
Menu badges provide a quick count without opening a page. Collections shows distinct non-periodical titles and Periodicals shows distinct periodical titles; Accession Register shows physical copies. Other supported badges show members, membership plans, member types, shelf locations, libraries, staff roles, and staff accounts. Counts use the organization scope, restricted to the libraries and features your account may access. The same title held in several permitted libraries counts once in the title badges.
Counts refresh after changes and periodically while the menu is visible. Background imports or changes from another workstation can take up to about 30 seconds to appear. Logout does not wait for a recount. If counts cannot be loaded, badges are hidden instead of displaying a guessed zero. Counts appear beside menu names, for example Collections (2.01k) or Periodicals (120). Counts below 1,000 are shown in full; larger counts use labels such as 1k and 1.02k. Hover over a badge to see the full number. In a Local setup, counts are available whether you sign in with your email address or phone number.
Expanded navigation labels wrap when needed, so longer feature names remain readable in narrow windows. Menu labels align with the start of the active language, and the sidebar stays within the window.
