Pending Registration Reports
Use Member Manager > Reports > Registrations to review public registration applications in a Cloud setup. The same reports are available in Libcodesk WebApp and the Standalone app when connected to your Cloud setup. Local setup does not collect public registration applications and does not offer these reports.
Before you start
- Your role needs access to both member reports and pending registrations for the selected libraries. Exporting or sharing also requires the appropriate report permission.
- Public registration must be enabled for a library to receive new applications. These reports do not submit, approve or reject an application.
- Application contact details, staff notes and rejection reasons are private. Share exports only with authorized colleagues.
Review applications
- Open Member Manager > Reports and choose the Registrations category.
- Choose Pending Registration Report, Accepted Registration Report, Rejected Registration Report, Registration Lifecycle Report, Pending Registration Aging, or Registration Source Report.
- Select a permitted library and, when needed, a date range, application status, recorded source, decision maker or minimum waiting days. Accepted and rejected reports filter by decision date; the other registration reports filter by submission date.
- Run the report. Review its totals and paginated results; use search, supported sorting and column customization to focus the list.
- Use the existing export action to prepare CSV, Excel or PDF when permitted. Keep the preparation window open until the file is ready; retry if generation fails.
Understanding the results
Pending reports show applications still waiting for a decision. Accepted and rejected reports retain decisions recorded after this feature became available; processing an application does not return it to the pending list. Lifecycle reports combine current applications and retained decisions without counting an application twice.
Waiting days describe how long an application has been waiting, and processing time describes the interval between submission and the recorded decision. Older missing details stay unavailable rather than being guessed. Older decisions made before retained history was available may not appear.
A recorded registration source is not proof of document verification. These reports do not add a document-review workflow or describe account verification as document approval. A member or guest applicant type is not inferred from a membership type.
Troubleshooting
- A report is missing or access is denied: Ask your organization admin to check your member-report and pending-registration permissions and library assignment.
- No rows appear: Clear restrictive date/status/source filters and check the selected library. Do not assume an empty result means older applications never existed.
- A historical decision is missing: Retained history begins when the feature is available; unavailable past details are not reconstructed automatically.
- An export or scheduled report is denied: The person accessing it must still have the required permissions. Do not work around a denied report by sharing someone else's file.
Do and Don'ts
- Do compare the selected dates, library and status before interpreting totals.
- Do protect contact details and internal notes when saving or sharing files.
- Don't approve, reject or resubmit applications merely to change a report.
- Don't treat unavailable history or verification details as confirmed facts.
FAQ
Will accepted applications appear in the pending queue again?
No. Reports retain the recorded decision separately from the current pending list.
Can I use these reports in Local setup?
No. Public registration belongs to Cloud setup. Connect the Standalone app to your Cloud setup or use Libcodesk WebApp.
